FAQ

Frequently Asked Questions

Health Workforce Canada has developed the Digital Front Door to serve as a centralized hub for workforce solutions, research, and best practices aimed at addressing Canada’s health workforce challenges.

We see this as just the beginning of an ongoing digital transformation journey in health workforce planning. This page can help users find answers to some of the common questions related to the Digital Front Door.

The tool is continuously evolving – we will refresh this page regularly to include updates on new features, additional resources, and user feedback-driven improvements.

This initial version features content from participating Pan-Canadian Health Organizations. We plan to expand the platform and add more content in future iterations.

We also invite you to contact us if you want to share your own questions and help shape the future of the Digital Front Door.

The Digital Front Door is currently in a pilot experimental phase with the goal of launching a more advanced and robust version by June 2025. During this phase, we are refining the tool to ensure the best quality, accuracy, and reliability in connecting users with health workforce-related information from across Canada. Your feedback is crucial in shaping its future!

Data Sources

Where does the Digital Front Door source its data from?

This pilot version of the Digital Front Door contains resources from a small group of non-profits and pan-Canadian health organizations that volunteered to share their resources. Responses are all returned with links to the original source materials and a list of the available library can be accessed through the navigation bar.

Are all resources publicly available?

Most resources within the Digital Front Door are freely accessible, but some may link to external reports or tools that require registration or subscription through the original publisher.

If a resource is frequently updated due to rapidly evolving content, will the platform remain up to date and link to the latest version?

Yes. Resources available in the Digital Front Door are regularly updated in collaboration with a small group of non-profits and pan-Canadian health organizations that have volunteered to share and maintain content.

Is there any plan to include additional sources / data?

We are continuously working to expand the platform and plan to add more content in future iterations. If your organization would like to contribute, you can suggest resources for inclusion through the Feedback feature in the navigation bar.

Development

What is the purpose of the pilot phase?
  • The pilot phase is focused on refining the Digital Front Door before its full launch in June 2025. During this phase:
    • Users can test the intelligent search and AI-powered responses.
    • Feedback will improve content quality, performance, and user experience.
    • Collaboration will drive continuous enhancements.
  • This phase will help ensure the Digital Front Door evolves into a robust and reliable tool for the health workforce.
How are resources selected to be included in the tool?
  • During development, a small group of organizations, with assets that have been developed to support improvement in health workforce-related issues, were invited to share resources from their organization. Participants were supportive and enthusiastic about the potential for their intellectual property to find a broader audience through the tool. Through their participation, a repository of materials was developed.
  • The pilot version of the Digital Front Door is intended to be small and curated to validate the concept and tool functionality, including the reliability of using generative AI. The repository is not exhaustive at this time. A collaboration mechanism will eventually be added to the tool to allow users and other organizations to reach out and request to be included in the tool.
What is the technology behind the Digital Front Door?
  • The tool is a generative AI application that provides intelligent search using retrieval-augmented generation (RAG); a technique that combines the strengths of retrieval-based and generation-based models to improve the quality of responses. It retrieves relevant documents or information from a curated repository and uses this data to generate more accurate and contextually appropriate answers.
  • The tool also incorporates a knowledge base to ensure responses are relevant and correct. All returned answers are provided with links to the original sources
We’ve heard of hallucinations and other caveats of GenAI products. How can we rely on the Digital Front Door’s responses and be confident the generative AI is providing a correct response?
  • Like all AI tools, the Digital Front Door should be used as a supportive resource rather than a definitive source of truth. Users are encouraged to apply independent judgement when evaluating responses.
  • To enhance reliability:
    • Every response includes links to the original materials, allowing users to verify the information themselves.
    • Content is pulled from a curated, closed repository of materials provided by trusted partners.
    • The tool matches user queries with relevant indexed content using leading-edge search technology to provide grounded responses.
    • All repository materials can be accessed through the library feature, presented in an Excel document that details curated content from partner organizations.
    • The Digital Front Door undergoes rigorous testing and fine-tuning, with internal and external validation by subject matter experts and contributing partners

Functionality

How does the Digital Front Door work?
  • The Digital Front Door is an AI-powered search tool that provides users with AI-generated responses and links to relevant resources based on their queries.
  • Leveraging intelligent search technology, the Digital Front Door matches key elements of a user’s question with materials in its closed library – a curated collection of resources built through voluntary contributions from participating organizations.
  • These resources are indexed, which means the content is systematically categorized to help the tool quickly retrieve and present the most relevant results.
  • Future updates may include additional curated content and enhanced data indexing to improve search accuracy and resource accessibility
Can I get answers to questions about the data shown in the Health Workforce Canada Dashboard?

Not yet. Currently, the Digital Front Door can only process and retrieve information from text-based content, such as web pages and PDF documents. It cannot currently extract or interpret information from images, graphs, or videos, even if they are embedded within those formats. We are actively working to enhance the platform’s capabilities in future versions to better support visual and multimedia-based information.

Is Health Workforce Canada’s Digital Front Door only available to healthcare professionals?

No. The platform is available to anyone that visits our website and is free to use.

How do we know we can trust the answers that the tool provides?

Responses are based on curated datasets provided by a small group of non-profits and pan-Canadian health organizations that volunteered to share resources. Responses are all returned with links to the original source materials.

Is this a conversational tool?

No, this is a non-conversational tool. It retrieves relevant resources based on a user’s queries and does not engage in back-and-forth discussions

Is it secure?

The Digital Front Door is contained within the Amazon Web Services ecosystem that provides cloud security, guardrails, data protection and access control services used to maintain the platform’s security. Databases that store the repository materials are not accessible to Amazon Web Services and are not shared with third-party model providers.

Health Workforce Canada is the administrator of the Amazon Web Services console and provides back-end access on an as-needed basis for staff permitted to work on components of the tool.

Will my information/organization’s information be used for training or other purposes?
  • The Digital Front Door does not save information from user interactions for training or any other purpose. Additionally, any inadvertent sharing of personal information is masked using guardrails embedded within the too
  • Databases that store the repository materials are not accessible to AWS and are not shared with third-party model providers.
Is the tool available in multiple languages?

Yes, the tool supports both English and French.

How does the Digital Front Door handle requests for comparing resources?

The Digital Front Door does not compare resources. Instead, it uses an intelligent search function to retrieve the most relevant resources based on the user’s query. If you do not find the resource you are looking for and it is listed in our library, please try refining your query. If the resource still does not appear, you can use the feedback feature to report the issue.

Does the Digital Front Door prioritize certain sources over others?
  • The Digital Front Door retrieves resources based on relevance to the user’s query, using generative AI and automated retrieval. While the system is designed to pull from a diverse range of sources, the way results are ranked may depend on factors such as keyword matching and content structure.
  • All retrieved resources include a summary and a direct link to the original source. Users should always refer to the original source.
